Terms and Conditions of Booking
Please read this brief guide. Confirmation of a booking by the client is deemed acceptance of these terms.
Prices. All published rates include VAT at the current rate. Trelowarren reserves the right to alter prices for any reason up to the date of booking.
Availability. All rates offered by Trelowarren are subject to availability and the discretion of Trelowarren. Limited numbers of houses may be allocated to individual rates, packages or promotions and, when these allocations are taken up, remaining available houses may be offered to the Client at a higher price.
Bookings. We may ask for a 20% deposit to secure your booking. Any offers or discounted prices must be mentioned at the time of booking. Full payment will be due 2 weeks before arrival date. If for any reason Trelowarren has to change the accommodation requested, you can cancel your booking with full refund of monies paid. Trelowarren reserve the right to take a refundable deposit of £100 for breakages. This is payable by credit/debit card.
Short breaks are calculated pro rata of the weekly price of house and a £150 service charge.
Cancellations, amendments and non-arrivals. In the event of Cancellations or Amendments to bookings, any payment made will be refunded if the week is re sold by Trelowarren. If Trelowarren cancels prior to the scheduled day of arrival, Trelowarren’s liability to the Client will be no greater than the amount paid by the client in respect of any booking. Where possible Trelowarren may but is not obliged nor will it be liable to find alternative accommodation for the Client in the event that Trelowarren is unable to accommodate the Client.
Arrival and departure. Houses are available from 6pm local time on the day of arrival. Check out is by 9 am local time.
Smoking. In line with the change in UK legislation, Trelowarren operates a NO SMOKING policy within all interior areas of Trelowarren including houses, reception, pool areas and restaurant and galleries. For resident guests who do not comply with our NO SMOKING policy, a charge will be added to their bill to include the cost of cleaning all soft furnishing to remove the odour of tobacco. We appreciate your co-operation with this No Smoking Policy.
Children must be accompanied by an adult in the reception and pool area. Children aged under 16 years are not allowed to use the gym equipment.
Restaurant Bookings. Due to the popularity of our Restaurant, booking a table prior to your arrival is recommended. Please call 01326 221595.
Dogs. You are welcome to bring up to 2 dogs to Trelowarren. Please ensure they have been treated by a suitable flea control treatment before arrival. Please see our guidance notes on the Trelowarren website trelowarren.com
Liability. Other than for death or personal injury caused by the negligence of Trelowarren, Trelowarren’s liability to the Client is limited to the price of the booking. Unless Trelowarren is liable under the above clause, the Client indemnifies Trelowarren from and against any and all liability and any claims, proceedings or damages resulting or arising from the booking, event or function, the Client, guests or any outside contractors of the Client. Trelowarren will not be liable for failure to perform to the extent that the failure is caused by any factor beyond its reasonable control.
Trelowarren does not accept responsibility whatsoever for damage to, or theft from, or theft of, vehicles parked on Trelowarren premises. We reserve the right to charge guests the cost of rectifying damage, caused by the

deliberate, negligent or reckless act, omission, default or neglect of the Clients, their guests or sub-contractors to Trelowarren’s property or structure. Should this damage come to light after the guest has departed, we reserve the right to make a charge to guest’s credit / debit card, or send an invoice for the amount required to make good or remedy any such damage, to the registered address. We will however make every effort to keep any costs that the guest would incur to a minimum.
Third Party Liability Trelowarren does not accept any liability for services rendered by third parties to Clients notwithstanding that such services may be arranged by Trelowarren. Any claim, demand, charge, suit or damages which may be incurred by the Clients or their guest (or any person claiming thereunder) shall be made directly with such third parties and Trelowarren shall render all reasonable assistance in this regard.
Insurance. The client is recommended to have and is responsible for insurance to cover cancellation, curtailment, and loss of baggage, personal effects and money.
Data protection. The information provided by the Client may be processed by Trelowarren for the purposes it has notified to the Information Commissioner. By confirming a booking or enquiry, the Client consents to this processing of the information. Trelowarren respects the privacy of every individual who visits our website. The data collected about you will be used to firstly fulfil any service you might request e.g. to request a brochure, make a booking etc and secondly to improve how, as a company, we serve you.
We will under no circumstances give your personal data to third parties. However, unless you specifically ask us not to we will use your data to send you further information from Trelowarren. Any e-mail sent to you will always provide you with the option to unsubscribe. This is in accordance with UK Data Protection Legislation.
When making a booking, your credit card or billing account details are only retained for the purpose of handling that booking transaction, unless you ask us to keep these details for future purchases which you may make through us.
For your protection we are registered under the Data Protection Act 1998 and have given all appropriate notifications to the Information Commissioner.
Website information. Trelowarren cannot accept responsibility for any errors or omissions and reserves the right to cancel, amend or vary the details featured in this website without notice. The information contained in this website is provided in good faith. The use of any information from this website is entirely at the risk of the user. Trelowarren will not be liable for any costs, losses, expenses or damages (whether direct or indirect, special, economic or financial) that may be incurred through the use of any information contained in this website or in any other website linked to this website.

Visitors cannot be contacted unless such information is given. Visitors are also invited to give additional company information but a decision not to do so does not affect any subsequent negotiations or discussions.
Use of Information: The information collected will be used to contact you with further details of our current activities or to send details of future initiatives or events. It may also be used for research purposes. You can inform us at any time if you no longer require such information to be sent.
If you provide your email address to us, you agree that we may send information to you by email in relation to our Services and in relation to any new services, initiatives or events. You will have the opportunity to unsubscribe from any such emails at any time.
We will share your details with our booking system, SuperControl for the purpose of them delivering their service to us. For example they provide a verified reviews service called UpFrontReviews and we may ask them to send you an email invitation to submit a review about your stay. We will NEVER sell your details to any third party. You consent to us providing your details to SuperControl in this way. You will have the opportunity to unsubscribe from any such emails at any time.
Data Security: We take appropriate measures to safeguard the information we hold from unauthorised access or improper use. Our database is stored in a secure, password protected location. Only users authorised by us have access to this data.
Integrity of Data: We take all reasonable measures to ensure that the information we hold is accurate. In particular we use reliable collection methods and destroy or convert to an anonymous form, any out-of-date data. Individuals may request details of all personal information held by us so as to contest inaccurate or incomplete data, verify the information and have it corrected as appropriate.
Children: Our website is not targeted at children but in any event personal information will not knowingly be collected from children under fourteen years without parental consent.
